1. Who we are
This Privacy Policy describes how Strainyoung (referred to as “we”, “us” or “our”) processes personal information collected through this website and through our coaching services delivered from Brunnenstraße 29, 10119 Berlin, Germany. By using this website, sending a message through any of our forms or booking a coaching session, you confirm that you have read and understood this policy.
2. Information we collect
We only ask for the information we genuinely need in order to reply to enquiries, schedule sessions and run a small coaching practice. Specifically we may collect:
- Contact details you provide voluntarily, such as your name, email address and the content of your message.
- Booking details needed to schedule a coaching session, such as preferred dates, time zone and any notes you choose to share.
- Technical information sent automatically by your browser, including your device type, screen size, language preferences and pages visited.
- Cookie data as described in our separate Cookies Policy.
3. How we use your information
Information is used strictly to operate the website and the coaching service. Typical uses include:
- Replying to your enquiries and providing the information you request.
- Scheduling, preparing for and following up on coaching sessions.
- Improving the usability, accessibility and performance of the website.
- Complying with applicable legal obligations, including bookkeeping requirements.
We do not use your personal information to make any automated decisions that produce a legal or similarly significant effect on you, and we do not sell your information to third parties.
4. Legal grounds for processing
Where required by law, we rely on the following legal bases for processing personal data: your explicit consent (for example when you tick the consent box on the contact form); the performance of a coaching agreement you have entered into with us; compliance with a legal obligation such as record keeping; and our legitimate interest in operating and improving a small coaching business in a responsible way.
5. Sharing of information
We keep the circle of people who can access your data deliberately small. Information may be shared with carefully selected service providers that help us run the website and the coaching practice, such as our email host, scheduling tool and bookkeeping software. These partners are bound by written agreements that limit how they may use the data and require them to keep it secure.
We may also share information when we are legally required to do so, for example in response to a valid request from a competent public authority.
6. Data retention
We do not keep personal data for longer than necessary. Contact-form messages are typically retained for up to twenty-four months so we can follow up properly. Coaching session notes are retained for the duration of the coaching relationship and for a reasonable period afterwards, in line with professional good practice. Accounting records are kept for as long as German tax law requires.
7. Your rights
If you live in the European Economic Area or the United Kingdom, applicable data protection law gives you the right to ask us, free of charge, for a copy of the personal data we hold about you, and to ask us to correct, update, delete or restrict the use of that information. You may also withdraw consent at any time and lodge a complaint with the supervisory authority in your country.
To exercise any of these rights, please send a written request using the contact details on our Contacts page. We will respond within one month and may ask for reasonable proof of identity before acting on certain requests.
8. Security
We apply organisational and technical safeguards designed to protect personal data against unauthorised access, accidental loss or alteration. These safeguards include limited staff access, encrypted connections (HTTPS), regular software updates and secure password practices. No method of transmission over the Internet is fully secure, however, and you share information with us at your own risk.
9. Children
Our coaching services and this website are intended for adults. We do not knowingly collect information from anyone under the age of sixteen. If you believe that a minor has provided us with personal data, please contact us so that we can promptly delete it.
10. Updates to this policy
We may update this Privacy Policy from time to time to reflect changes in our practice or in the law. When we publish a meaningful update, the “last updated” date at the top of this page will change. Please review this page periodically to stay informed.
11. Contact
If you have any questions about this Privacy Policy or about how we handle your information, please visit our Contacts page for the easiest ways to reach us. We aim to respond to every enquiry within two working days.
